Information on Online Medical Consultations

To better meet patients' needs, we offer both in-person and online medical consultations at our clinic.
For patients undergoing egg retrieval, egg-related explanations are primarily provided online. Likewise, consultations with a physician to discuss next steps following a pregnancy test after embryo transfer are generally conducted online.

Online consultations are also by appointment, allowing for a smooth and timely start to your session.

If documents or medication need to be provided, we will send them by post. For patients covered by health insurance, an additional shipping fee will apply.

For patients not covered by health insurance, we will cover the shipping costs for the time being.

We have also launched a website, 「Oak Clinic On-line」, to provide information and facilitate information sharing with our patients.

【Things to check before your appointment】

  • An email address is required to use our online consultation service.
  • For first-time patients using insurance-covered services, Google Meet is required as you must present a valid ID on screen before the consultation.

1. Booking an online consultation

For new patients:

During the call, please mention that you wish to have an “online consultation,” and after the phone call, please send your patient information via email.

2. Online Consultation

On your scheduled appointment date and time, we will contact you to begin the online consultation.
For first-time patients using insurance-covered services, a form of identification must be shown on screen before the consultation, so please have it ready in advance.

3. Payment Methods (Advance Payment, Paygent Settlement [Credit Card], Bank Transfer, In-Person Payment)

After the consultation, we will send payment instructions to the email address you provided with your patient information.
Please make your payment using one of the methods listed.
※ Advance payments made via the Paygent payment service must be paid by credit card. If a refund is issued after payment by credit card, a 5% handling fee will be charged on the refunded amount.

4.Medication Shipping (if applicable)

Once payment is confirmed, we will send the medication to the address provided in your patient information. Please allow a few days for delivery.
[Important] If you need to receive your medication urgently, please note the following points.

・Same-day shipping of medication is only available if payment is confirmed by 4:00 PM. Payments confirmed after 4:00 PM will result in next-day shipping.
・For bank transfers, payments made on weekends, holidays, or outside of business hours on weekdays may be processed on the next business day. In such cases, the transfer to our clinic is not yet complete, and we will not be able to confirm your payment.

For patients scheduled to receive online consultations who do not have a physical insurance card and are using their My Number Card as insurance, it is necessary to complete a consent registration for online eligibility verification via the “My Number Registration Portal” before the online consultation.

The “My Number Registration Portal” is a dedicated website accessible from devices with My Number Card reading capabilities, such as smartphones. Patients themselves need to access the website, scan their My Number Card, enter their password, and provide consent for eligibility verification.

When you access the My Number Registration Portal, the following screen will appear.

※ If you wish to use the High-Cost Medical Expense Benefit system, please select “Agree” for the “Provision of Maximum Amount Information” section.

The URL for the My Number Registration Portal varies depending on the location (Sumiyoshi, Umeda, or Ginza). Our staff will explain at the time of your online consultation appointment which location you should register with.

Please note that consent registration on the My Number Registration Portal must be completed each time you make a reservation for an online consultation.

Please access the My Number Registration Portal via the URL or QR code below and complete the registration process. If, by any chance, you are unable to complete the consent registration, please display the “Qualification Information Notice” issued by your insurer or the qualification information screen from the My Number Portal on your smartphone or other device during the online consultation. If this is not possible, you may be required to pay out-of-pocket temporarily.
